ORS Privacy Policy

The Orthopaedic Research Society (ORS) is committed to protecting your personal data and maintaining your confidence and trust in how we manage the personal data that we collect.  The following privacy policy provides information on what we collect how it is used, if shared, and why. 

When we ask you for information, we will tell you why we are asking for the information, what we are using it for, and who will have access to this information.

What Information May Be Collected by ORS?

1. Information from ORS Members

a. ORS collects certain personal information from its Members to ensure that ORS records are accurate and up-to-date (“Personal Information”). This information may include:

  • First and last name
  • Home and/or office postal mailing address, including street name and name of city or town
  • E-mail address
  • Telephone number(s)
  • Fax number(s) (when provided)
  • Personal website address (when provided)
  • Gender
  • Profession and job title; institutional affiliation
  • Membership in professional organizations
  • Bank account information (for payment via wire)
  • Primary and secondary research interest
  • ORS identification number
  • Credit card information (last- 4-digits only if purchases are made)
  • Social media handles
  • Participation in ORS Meetings and Events
  • For purchases, a record of all ORS meetings, courses, videos, online education programs

2. Information from Non-Members

a. ORS collects certain Personal Information from non-members who wish to join the ORS, or register for an ORS meeting or course.  This information may include:

  • First and last name
  • Home or office postal mailing address, including street name and name of city or town
  • E-mail address
  • Telephone number(s)
  • Fax number(s)
  • Credit card information (last 4- digits only if purchases are made)
  • Gender
  • Profession and job title; institutional affiliation
  • Membership in professional organizations
  • Bank account information (for payment via wire)
  • Participation in ORS meetings and events
  • Social media handles
  • For purchases, a record of ORS meetings, courses, online courses, etc. 

3. Information from suppliers of goods and services to ORS. If ORS pays an individual or entity for services or goods rendered, an honorarium or a stipend, ORS collects at a minimum the following information as required by the Internal Revenue Service W-9 form:

  • First and last name
  • Home or office postal mailing address, including street name and name of city or town
  • Tax Identification Number
  • Bank account information (for payment made by wire) 

4. ORS does not knowingly collect information from children under age 13.

5. ORS websites encrypt credit card information when sending data to third party payment processors; Moolah/Memberclicks, Paypal.   Credit card information is transmitted securely using SSL encryption to our third-party vendors who are PCI compliant.  ORS does store credit card information and has access to only the last 4-digits of your credit card.

How will this Personal Information and User Data Be Used?
Any personal information you provide to use including and similar to your name, address, email, telephone will be not released, sold, or rented to any entities or individuals outside of our organization except as noted below, or with your explicit consent.  Further, ORS does not distribute surveys to its membership on behalf of third parties.

1. Personal Information collected may be used for internal ORS purposes by authorized ORS staff.

2. Personal Information User Data will not be released to third parties other than our contracted service providers. 
We may share your personal information with companies that perform services on our behalf, for example, companies that process credit card payments, publishers that manage subscription to our society owned journals, companies that oversee meeting badge printing.  Our service providers are required to protect the confidentiality of the personal information we share with them and to use it only to provide specific services on our behalf.

3. The ORS makes available the ORS Membership Directory at no charge on the ORS website only to ORS Members.  This Membership Directory contains the name, credentials, current position or title, primary email address, affiliation, department, organization, affiliation, specialty, primary discipline, primary interests, secondary interests, postal city, postal state, postal country, ORS member type, ORS Research Section membership if applicable, twitter handle, area of expertise, and unique technologies used. Use of the Private Membership Directory for the use of compiling e-mail distribution lists—for any purpose—by an ORS member or anyone working on his or her behalf, is expressly prohibited.

4. ORS Annual Meeting registration lists, including the registrant’s name, title, institution/organization, postal mailing address, and primary and secondary interests, are available to exhibitors in advance of and after the Annual Meeting. In addition, certain Personal Information, including the registrant’s name, postal mailing address, e-mail address, phone number, institution/organization, is available at the Annual Meeting to exhibitors through a "lead retrieval " mechanism. By allowing an exhibitor to scan a name badge with the ORS approved lead retrieval system, registrants agree to provide the exhibitor with this information.

Can the Personal Information Be Viewed and/or Corrected?
The ORS encourages its Members as well as its customers, and or, non-members to update and correct their Personal Information regularly online. A review and update section is included on the ORS web site under the Member Login (https://ors.memberclicks.net/ors-member-center) section to make these changes.

How Long Will the Personal Information Be Retained?
The ORS retains Personal Information regarding ORS Members indefinitely. ORS retains customer data (financial, registration, and membership records) for at least five years, or as dictated by the ORS document retention policy.

How Does ORS Use Email Addresses to Communicate with Members and Others?
ORS uses e-mail to communicate with Members and Non-Members in a variety of ways, including dissemination of importance regarding your ORS membership, an upcoming educational program, or general information of interest to the research community.

With the exception of certain limited membership information such as membership dues statements, purchase receipts, registration confirmations, and ballots for the Nominating Committee, bylaws and resolutions, ORS will honor requests to unsubscribe to receipt of ORS e-mail communications. If you chose to unsubscribe, you will no longer receive any e-mail communications from ORS other than this select membership information.

Linking to other Websites
Our site may contain links to other Web sites. Once you leave www.ors.org and its sub-domains, the use and protection of your personal information is governed by the privacy policy at that site. You should review the privacy policy of other sites you visit or link to from our site to understand how these other sites use cookies and how they use the information they collect through the use of cookies or web beacons on their own sites.

Effective Date:
This policy has been in effect since May 24, 2018. Modifications to this policy shall be posted as the “Privacy Policy” linked to the ORS homepage.
